Personal Data Notice (KVKK)

1. Data Controller

For the purposes of Türkiye’s Personal Data Protection Law No. 6698 (“KVKK”), Veraxon acts as data controller for the processing described below.

2. Categories of Personal Data

Depending on the enquiry, Veraxon may process your name, company/organisation, email address, telephone number, industry, destination market and information concerning the product, brand/model, quantity, technical specification, certification/documentation requirements and message content. IP address and standard technical access logs may also be processed by the hosting infrastructure for security purposes.

3. Purposes of Processing

• receiving and responding to contact, quotation and sourcing enquiries,
• evaluating product and technical requirements and researching supply alternatives,
• conducting commercial communications and pre-contractual/contractual processes,
• managing customer, supplier and business-partner relationships,
• protecting website and information-system security,
• meeting legal obligations and establishing, exercising or protecting legal rights.

4. Collection Methods and Legal Grounds

Personal data may be collected electronically or physically through the website enquiry form, email, telephone and other business communication channels used by you. Depending on the specific processing activity, the legal grounds under Article 5 of KVKK may include necessity for the establishment or performance of a contract, compliance with the controller’s legal obligations, establishment/exercise/protection of a right, and the controller’s legitimate interests provided that fundamental rights and freedoms are not harmed. Where a separate activity requires explicit consent, consent will be requested separately.

5. Transfers

To the extent necessary for the purposes above, personal data may be transferred to hosting/email and IT service providers, relevant manufacturers and suppliers, technical/logistics service providers, professional advisers and legally authorised public authorities.

If an international sourcing request requires transfer of limited information to a manufacturer or supplier outside Türkiye, the transfer is intended to be limited to what is necessary and to take place subject to the conditions and safeguards prescribed by Article 9 of KVKK and related secondary legislation.

6. Retention

Personal data is kept for the period required by the relevant processing purpose and applicable legal, contractual or dispute-related retention requirements. When the purpose and legal retention requirement end, data is deleted, destroyed or anonymised in accordance with applicable law.

7. Your Rights

Under Article 11 of KVKK, you may have rights to learn whether your personal data is processed, request information, learn the purpose of processing and whether data is used accordingly, learn third-party recipients, request correction of incomplete or inaccurate data, request deletion or destruction where the legal conditions are met, request notification of correction/deletion to recipients, object to certain results arising exclusively from automated analysis, and claim compensation for damage caused by unlawful processing.

8. Applications

Requests concerning KVKK rights should be submitted to Veraxon with information sufficient to verify your identity and the subject of the request, using a method permitted by applicable Turkish rules. Written applications may be sent to the office address above. Electronic applications should use a legally accepted method, such as an email address that you previously notified to Veraxon and that is already registered in our systems. 9. Updates

This notice may be updated if the underlying processing activities or applicable law change. The current version will be published at www.veraxontrade.com.
